Job Description
Provide leadership and management to the Facilities and Travel & Events teams. Reporting to the Operations EVP, the Facilities and Events Director is responsible for the overall maintenance and management of all facilities as well as expansion initiatives for each Wounded Warrior Project location. Additionally, the Facilities and Events Director will be responsible for developing, negotiating, and implementing efficient meetings and events logistics management and policies. The Facilities and Events Director will be a hands-on, results oriented individual who is a driven, creative, innovative thinker, and a servant-leader. Leadership experience, combined with a strong passion for the vision, mission, and goals of WWP, are critical to success in this role.

Essential Job Functions:

  • Guides day to day execution of Facilities and Travel & Events initiatives, focusing on accuracy and timeliness
  • Manages long-term projects while comprehending and tracking progress at the detailed level
  • Implements effective business analytics practices that drive improved decision-making, efficiency, and performance
  • Reviews, evaluates, and develops proposals for new initiatives as appropriate
  • Monitor all progress of facilities and travel related goals and budgets, and adjust plans as appropriate
  • Develop and produce monthly reports on facilities and travel costs to Operations EVP
  • Oversee negotiation of lease/contract terms and build relationships with building landlords and vendors
  • Work with Facilities Manager to ensure that new facilities are appropriate from a look, functionality and cost perspective
  • Develop and implement long-term operational strategies and policies for the facilities and travel & events teams
  • Lead the development and implementation of regional expansion model and communicate updates to senior leadership and key regional expansion team members
  • Supports Travel and Events Manager in their efforts to ensure smooth day-of-event production and experience, such as registration, delivery of sponsor benefits, securing sites
  • Self-motivated, able to work within a project-based environment
  • Detail oriented and organized with an ability to meet deadlines
  • Extensive travel required
  • Demonstrated ability to exercise confidentiality and good judgment when working with sensitive issues
  • Oversee and manage all construction and maintenance for all property assets
  • Leads and mentors Facilities Manager and Travel and Events Manager in work allocation, training, evaluation, conflict resolution and motivates direct and indirect reports to achieve peak productivity and performance
  • Collaborates in the generation of reports used to manage, audit, and benchmark the Facilities and Travel operations
  • Management style that fosters an open dialog with all organizational staff
  • Effectively and efficiently manage multiple projects in varying complexity
  • Willingness to commit the additional time and effort necessary during periods of heavy workload in order to meet project milestones and implementation deadlines
  • Other duties assigned

Required Skills

  • Experience in a non-profit setting and an understanding of events
  • Understanding of planning and engineering principles related to design, construction, operation and maintenance; and the ability to read and interpret construction and technical drawings, site plans and other visual materials
  • Broad knowledge of construction project management including budgeting, contractual agreements, procurement, construction techniques, design process, scheduling and quality assurance procedures, building trades, construction materials, building codes and distance communications
  • Excellent organizational and multi-tasking skills
  • Demonstrated ability to exercise confidentiality and good judgment when working with sensitive issues
  • Ability to contribute to a positive work environment and overall team effort in the department and organization
  • Exceptional interpersonal skills; team player, ability to communicate with diverse personalities, tactful, mature and flexible

  • Effective negotiation skills in dealing with outside vendors, contractors, landlords etc.
  • Ability to extrapolate program functions and requirements from key program staff
  • Demonstrated experience with preparing status reports and providing management briefings
  • Demonstrated ability to facilitate large focus-group sessions, webinars, interviews, or other meetings
  • Strong interpersonal and communication skills; experience in effectively communicating key data, including presentations to Executive team, Chiefs, and/or Board of Directors
  • Exceptional written and oral communication skills

Required Experience

  • Bachelor’s degree in related field or demonstrated commensurate work experience required. Master’s degree a plus.
  • Minimum 10 years of experience in master planning, facilities planning, coordination and completion of construction projects, as well as tracking project milestones and identifying resources to meet the needs of the project
  • Minimum 3 years business and project management related experience required
  • Minimum of 8 years supervisory experience required
  • Project management experience including establishing and maintaining regional office development, project budgets, and schedules
  • Experience in travel, even accommodations, and transportation negotiation preferred.
  • Proficiency in Microsoft Office applications (Word, PowerPoint, Project, Visio, Outlook with a strong working knowledge of Excel)
  • Knowledge of Adobe Creative Suite (Photoshop, PageMaker, Illustrator, In Design etc)
  • Knowledge and experience with building construction and maintenance, including HVAC, plumbing, electrical, foundations, roofing, safety, security, and compliance with applicable State and Federal Regulations
  • Thorough experience in working with vendors including requests for quotes/bids, vendor selection, and management
  • Experience in collecting and analyzing data to make performance based decisions
  • Experience implementing and managing security and safety programs
  • Demonstrated experience with large scale implementation projects
  • Experience working in non-profit organizations is highly preferred
  • Certified Meeting Planner preferred
  • Certified Facility Manager preferred
